💲 Rep price approvals –
When a rep agrees a price with their client they send it here first. Nothing changes for the client until you approve it — approving writes the price into that client's special pricing, which is what the catalogs and every order form read.

🧑💼 Employee Orders
Every order placed by our own team for a client — by a sales rep on the rep form, at the warehouse counter, or by a merchandiser in store. Same pipeline as a local order (PDF invoice, draft Zoho invoice, pay on delivery). Pick a team below to see just their orders.

Payment-terms agreements are separate from freezer contracts — send a client the credit application locked to the terms you're offering. Submissions land on ✍ Contracts ▾ → 💳 Credit Apps.
Signed Contracts
Freezer service agreements, grouped by contract amount, each with the signed PDF. Clients only ever see the ONE plan you send them — use the plan cards above. Reps can send plan links from their portal.
⭐ Rewards Members
1 point per $1 collected, posted when a delivery is confirmed. Tiers: 1,500 free case · 3,000 two cases · 4,500 display + snacks · 7,500 five cases · 10,000 $350 credit · 15,000 FREE FREEZER. Point specials = Catalog banner editor with "Shows on: Rewards". Click a balance to adjust it (e.g. after fulfilling a redemption outside an order).
| Store | Joined | Points | Lifetime | Status |

Prize Tiers
This is exactly what clients see on the rewards dashboard — the prizes they redeem catalog-style, with pictures. Click any points value, prize name, description, or image URL to edit it (blank image/description are fine). Changes go live everywhere instantly. The highest tier is limited to one redemption per customer, ever. Points expire after 60 days with no activity.
🎁 Redemption requests
Prizes clients have redeemed from the rewards dashboard. Mark fulfilled once you've delivered the prize, or Cancel to refund the points back to the client automatically.
⭐ Sign a client up for Rewards
Enrol any client yourself — they start earning 1 point per $1 on their next confirmed delivery, no action needed from them. Optionally give them a login so they can watch their points and redeem online; leave it blank to just enrol the store.
🎯 Weekly goals (client dashboard)
Weekly challenges that show on the client rewards dashboard with live weekly progress (Monday reset). Pick what counts — referrals, orders or points — set the target, and what hitting it earns (bonus points and/or a prize). Toggle a goal off to hide it without deleting.

🖼 Rewards Dashboard slides
Catalog-style promo slides shown at the top of the client rewards dashboard — new products, offers, discounts. Add pictures with 🖼, edit the title/text by clicking them, and flip the toggle to show/hide. Nothing appears on the rewards page until you add a slide here.

⚡ Bonus point offers
Points multipliers, e.g. 2× points on a product — or set the product to ALL for a store-wide multiplier. The order form auto-shows a ⭐ badge on boosted products and live-calculates the points in the customer's cart; the rewards dashboard advertises active offers. Bonus points are captured with the order and credited automatically when the delivery is confirmed.

📋 New Customer Registrations
Rewards signups from the new-customer registration form — the ⭐ opt-in popup after they register. These are brand-new stores, separate from existing customers creating logins later (those stay in the queue below). Same approval flow: approving links profiles / adds new stores exactly like the main queue.
| When | Who | Contact | Store (as typed at signup) | Sales rep | Status |
|---|
🏪 Existing Client Account Creations
Signups from the existing-client invite page (rewards-welcome) — stores already on our list creating their rewards login. ✓ Approve asks "is this the correct store?" — the typed name is auto-matched against the client base so the login attaches to the right existing client (and enrolls them in rewards) in one tap.
| When | Who | Contact | Store (as typed at signup) | Sales rep | Status |
|---|
👤 Pending Customer Accounts
Customers create ONE login (email + password). The Store column shows the store name(s) exactly as they typed them on the signup form — nothing is auto-matched, so use it to find the right client (Email match = their email was already on a profile · New customer = unknown email). Everything arrives Waiting to approve — approving asks whether to link the email to existing profiles and add brand-new stores to the Client List. That check keeps one owner's pricing and points away from another owner with the same store name.
| When | Who | Contact | Store (as typed at signup) | Sales rep | Status |

🤝 Referral Program
When a new store registers and names an existing client in "Were you referred by another store?", that client automatically earns the bonus below — separate from the 1 pt/$1 delivery points. Awards appear in the Points Log with reason "Referral: (new store)".

⏳ Pending Points
Points a signed-in customer will earn once their Local Delivery order is delivered — logged the moment they place the order (1 pt / $1). Pending = not yet credited; Awarded = the delivery was confirmed and the points landed. This is a read-only record.

🎁 Free Case (rewards signup)
Existing clients who sign up for WSI Rewards from the invite page get one free case on their first order. 🎁 owed = signed up, free case not yet given · ✓ given = the free case was auto-added to their first signed-in order. Use 🎁 Grant free case to manually mark a store eligible (e.g. clients who signed up before this went live).

▸ 💵 Invoice & amount check Not run yet
Reconciles every order, every invoice row and every scheduled stop against the real invoice totals in Zoho Books. Read-only — it changes nothing, it just reports what disagrees. Takes about a minute.
▸ 📚 Zoho Books Sync Checking…
New invoices in Zoho Books flow in here automatically every 15 minutes; approved new customers push to Zoho as contacts.
The 15-minute pull is automatic. For sub-second updates, add a webhook in Zoho Books so it pings us the moment an invoice is created or edited.

Upload the day's invoice PDFs from the CRM. Each file is matched to a client by its file name, then attached to that client's scheduled delivery and driver. When the delivery is confirmed in Waiting-for-Verification, its invoice detaches automatically and moves to the Logged list below.

⏳ Pending out
Product already sold on undelivered invoices (Zoho drafts land here the moment an order is placed). It hasn't left the warehouse yet, so it's still counted in stock — this is what's spoken for. Customer Forms
The live forms build themselves from this list. Click a question, section, order number, or answer chip to edit it in place; toggle Required and Live per question. Core questions (wired to sheet columns) can be hidden but not deleted. Changes are live on the next form load.
| Order | Section | Question | Type | Answer options | Required | Live |

Add a Question
Write the question exactly as the customer will read it, pick where it goes and how it is answered. Answers go one per line. A Yes / No question comes with Yes and No filled in — change the words if you like, e.g. Yes, send me promos and No, thanks. The preview underneath shows what will appear before you add it.
🎁 Order Incentives
Deals that show on the local delivery form as a live progress popup — e.g. buy 5 cases, get 1 free. As the cart grows the customer sees "add 1 more case for a free case!". Flip a deal ON and it's live on the next form load; Repeats decides whether it triggers every N cases or only the first time.

💵 Products & Prices
Exactly what the local delivery form charges — click a value to change it. Catalog $ / Case is the case price on the form, Unit $ overrides the auto unit price (blank = case ÷ units), Sale % discounts the case price, and Hidden products never show on the form or catalog. Same fields as Catalog ▾ → Wholesale Catalog.
